Organization Settings

Set your nonprofit's name, EIN, fiscal year, officers, and receipts — the details that flow into your reports and 990.

After your initial setup, you'll come back to Organization Settings whenever you need to update your nonprofit's identity, change accounting preferences, manage officers and directors, or configure donation receipts. This page covers ongoing management -- for first-time setup, see Setting Up Your Organization.

  • You must be an admin or owner on the organization to change settings.
  • Changes to the fiscal year start month and EIN have compliance implications -- read the accountant note at the bottom before changing them.
  • Go to Settings > Organization in the sidebar to open the organization profile page.

The Identity section at the top of the page controls how your nonprofit appears in the app and on official documents.

  1. Organization name -- the name shown in the sidebar and throughout the app.
  2. Legal name -- appears on donation receipts, Form 990 worksheets, and compliance documents. If left blank, the organization name is used instead.
  3. EIN -- your 9-digit IRS tax ID (format: XX-XXXXXXX). Used on donation receipts, Form 990 filings, and 1099-NEC contractor exports.
  4. Logo -- appears in the top-left corner of the app. Upload a new image to replace it, or leave it as-is.
  5. Mission statement -- optional text that can appear on reports and compliance documents.

Click Save Changes at the bottom of the page after making updates.

The Address section stores your nonprofit's mailing address and phone number. This information appears on donation receipts and compliance documents.

Fields: street address, city, state, ZIP code, country, and phone number.

The Officers & Directors section is where you manage the people who serve on your board or hold officer positions. This information is required for Form 990 filing (Part VII).

  • To add an officer or director: Click the Add button in the Officers & Directors section. Enter their name, title, and other details.
  • To edit: Click the edit icon next to an existing entry to update their information.
  • To remove: Click the remove icon next to the entry you want to delete.

Tip: You don't need to add officers and directors right away, but you will need them before filing Form 990. The 990 Wizard will remind you if this section is incomplete.

The Accounting Settings section controls two important preferences:

  • Fiscal year start month -- determines how NP Ledger groups transactions for reports and tax filing. Most nonprofits use January (calendar year) or July. Changing this after you've started recording transactions requires careful planning.
  • Currency code -- the currency used for all amounts in the app.
  • Default fund -- the fund assigned to new transactions when no specific fund is selected. An "Unrestricted (General)" fund is created automatically during setup.

The Donation Receipts section lets you set up automatic receipt emails to donors.

  1. Enable donation receipts -- check the box to turn on per-donation receipt emails.
  2. Receipt email -- the reply-to address donors see when they receive a receipt (e.g., receipts@yourorg.org).
  3. Display name -- the "From" name on receipt emails. Defaults to your legal name or organization name.
  4. Custom thank-you message -- optional text included in every receipt email.

If you enable receipts but don't enter a receipt email address, a warning will remind you that sending is not yet ready.

Click View notification log to see the delivery history for all receipt emails.

The Team Members section shows everyone who has access to your organization, along with their email, role, and last login time. The seat count (e.g., "3 / 10 seats") shows how many of your plan's user slots are in use.

You cannot add or remove team members from this page -- team management is handled through invitations. This section is for reference.

If your organization has an active subscription, you'll see a Subscription section showing:

  • Plan -- your current plan name (Starter, Standard, or Professional).
  • Status -- Active, Trialing, Past Due, Canceled, Limited Access, or Grandfathered.
  • Next billing date -- when your next payment is due.

Click Manage billing to go to the billing management page where you can upgrade, downgrade, or update your payment method.

Important: If you see a "Past Due" or "Canceled" status, update your payment method promptly to avoid losing access to features. See Billing and Plans for details.

The Security Settings section has one toggle:

  • Allow editing posted transactions -- when enabled, admins can modify transactions that have already been posted. When disabled (recommended for production use), posted transactions are locked and cannot be changed.

A warning banner appears when edit protection is turned off, reminding you that posted transactions can be modified.

  • After saving, your organization name should update in the sidebar.
  • If you changed accounting settings, verify fiscal year dates under fiscal periods.
  • If you enabled donation receipts, send a test receipt from any donation to confirm delivery.
  • Changing the fiscal year start month after recording transactions. This does not move existing transactions between fiscal years. Plan carefully and consider creating new fiscal years before changing this setting.
  • Leaving donation receipts enabled without a receipt email. Receipts won't actually send until you provide a reply-to email address.
  • Turning on "Allow editing posted transactions" permanently. This is meant for corrections, not everyday use. Leave it off to protect your audit trail.

Accountant Note: Your EIN and fiscal year start month must match your IRS filings. If your nonprofit changed its fiscal year, file IRS Form 1128 before updating the setting in NP Ledger. The fiscal year start month affects how NP Ledger calculates the 3-year gross receipts average used for Form 990 variant selection (990-N vs. 990-EZ vs. full 990). Changing it mid-year can create reporting gaps if not handled carefully.
