Your Account and Security

Lock down your login with a strong password, two-factor authentication, and session controls.

Your Account Settings page is where you manage your personal profile, timezone, interface preferences, password, and two-factor authentication. These settings are specific to your user account and apply across all organizations you belong to.

Go to Settings > Account Settings in the sidebar to open this page.

  • Any logged-in user can access their own account settings. No special role is required.
  • Password and two-factor authentication changes take effect immediately.
  • Your timezone setting affects how dates and times are displayed throughout the app.

The Personal Information section at the top of the page has three fields:

  1. First name and Last name -- your display name throughout the app and in team member lists.
  2. Email -- the email address associated with your account, used for login and notifications.

Click Save Changes after making updates.

The Time Zone section lets you control how dates and times appear in the app.

  1. Select a timezone from the dropdown list.
  2. Or click Auto-detect to let your browser detect your timezone automatically.

Dates and times throughout the app -- including transaction dates, audit logs, and report timestamps -- will display in your selected timezone.

Tip: If you travel between time zones, use Auto-detect to update your timezone quickly. Your data isn't affected -- only how dates and times are displayed.

The Interface Preferences section has three toggles that control what you see in the app:

  • Show Quick Entry -- shows the simplified Quick Entry form in navigation and on the dashboard. Uncheck this if you prefer using the full transaction form with debits and credits.
  • Show AI Help -- shows the AI Help button on every page. AI Help provides plain-language explanations of your financial data. Available on Standard and Professional plans.
  • Show Getting Started Checklist -- shows the onboarding checklist on your dashboard until your initial setup tasks are complete. You can also hide or show it directly from the dashboard.

These preferences are saved when you click Save Changes.

  1. Scroll down to the Password section.
  2. Click Change Password.
  3. You'll be taken to a password change page where you enter your current password and choose a new one.
  4. After saving, your new password takes effect immediately.

Two-factor authentication (2FA) adds a second layer of security to your account. After enabling it, you'll need both your password and a verification code from an authenticator app to sign in.

To enable 2FA:

  1. Scroll down to the Two-Factor Authentication section.
  2. Click Enable 2FA.
  3. You'll see a QR code. Open your authenticator app (such as Google Authenticator, Authy, or 1Password) and scan the QR code.
  4. Enter the 6-digit verification code from your authenticator app to confirm setup.
  5. Save your recovery codes. After enabling 2FA, you'll receive a set of one-time recovery codes. Store these somewhere safe -- they're the only way to access your account if you lose your authenticator device.

After enabling 2FA:

  • A green Enabled badge appears next to Two-Factor Authentication on your account settings page.
  • Click Manage 2FA to change your authenticator or disable 2FA.
  • Click View Recovery Codes to see your recovery codes again. Each code can only be used once.

If you lose your authenticator device:

Use one of your recovery codes to sign in, then go to Account Settings to set up a new authenticator. If you've used all your recovery codes, contact NP Ledger support for help.

  • After saving personal info, your name should update in the top-right corner and in team member lists.
  • After changing your timezone, check that dates on the dashboard display in the correct local time.
  • After enabling 2FA, sign out and sign back in to verify the authenticator prompt appears.
  • Skipping recovery codes after enabling 2FA. If you lose access to your authenticator app and don't have recovery codes, you'll be locked out of your account. Save them immediately.
  • Forgetting to click Save Changes. Personal info, timezone, and preference changes are only saved when you click the button. Password and 2FA changes have their own save flows.
  • Setting the wrong timezone. If report timestamps look off, check your timezone setting before assuming there's a data issue.

Accountant Note: Two-factor authentication is especially important for accounts that handle financial data. If your organization has multiple users with admin or owner roles, consider requiring all of them to enable 2FA. This protects your accounting records, donor information, and tax filings from unauthorized access if a password is compromised.
