Setting Compliance Deadlines
Keep tax filings, grant reports, and board dates on your dashboard so nothing slips past.

NP Ledger helps you track important dates — tax filings, grant reports, board meetings, audits, and other compliance deadlines — so nothing falls through the cracks. Upcoming deadlines appear on your dashboard with color-coded urgency indicators. This feature requires a Professional plan.
Missing a compliance deadline can have serious consequences: late filing penalties from the IRS, lost grant funding, or governance failures. Most small nonprofits track these dates in spreadsheets or calendars that are easy to forget. Putting them in NP Ledger keeps them visible alongside your financial data, right where you're already working.

Note: NP Ledger automatically creates a Form 990 filing deadline when you set up a fiscal year. You don't need to create that one manually — it's calculated based on your fiscal year end date.
Adding a deadline
- Go to Settings > Deadlines (or click "Manage" from the Upcoming Deadlines widget on your dashboard).
- Click "Add Deadline".
- Fill in the details:
- Label — A descriptive name, like "Form 990 Filing" or "Q2 Grant Report to Community Foundation"
- Due Date — When it's due
- Category — Choose the type:
- Tax Filing — IRS filings, state tax returns
- Grant Report — Funder reporting deadlines
- Payroll — Payroll tax deposits, W-2 deadlines
- Audit — External audit milestones
- Board Meeting — Scheduled board meetings
- Other — Anything else you need to track
- Recurrence — How often this repeats:
- One-time — A single deadline that won't repeat
- Monthly — Repeats every month
- Quarterly — Repeats every three months
- Annual — Repeats once a year
- Notes — Optional context (e.g., "Funder requires narrative report + financial summary")
- Click "Save".
Editing a deadline
- Go to Settings > Deadlines.
- Click "Edit" next to the deadline you want to change.
- Update any fields and click "Save".
Deleting a deadline
- Go to Settings > Deadlines.
- Click "Delete" next to the deadline.
- Confirm the deletion in the dialog.
The Upcoming Deadlines widget on your dashboard shows deadlines due within the next 90 days. Each deadline displays with a color-coded urgency indicator:

The widget shows up to 5 upcoming deadlines. Click "Manage" to see all deadlines and add new ones.
- All major annual deadlines are entered (Form 990, state filings, annual audit)
- Grant reporting deadlines match your funder agreements
- Board meeting dates are current for the fiscal year
- Recurring deadlines have the correct frequency set
- Duplicating the Form 990 deadline — NP Ledger creates this automatically when you set up a fiscal year. Check your deadline list before adding one manually.
- Forgetting state filing deadlines — Many states require separate charitable solicitation renewals or state tax filings in addition to the federal Form 990. Add these as separate deadlines.
- Not updating after extensions — If you file for an IRS extension, update the deadline's due date to reflect the extended filing date.
