Bank Account Details

Everything about one bank or cash account -- its balance, its feed, and the transactions flowing through it.

The Bank Account Details page lets you view and edit reference information for any bank, payment processor, or credit card account. This is where you store account numbers, routing numbers, bank addresses, and other details that your organization needs for grant applications, wire transfers, check printing, and vendor payment forms.

Nonprofits regularly need bank account reference information for:

  • Grant applications that ask for full bank details (account number, routing number, bank address)
  • Wire transfer setup requiring routing and account numbers
  • Check printing with bank address and account holder name
  • Vendor payment forms like W-9 responses and ACH authorization
  • Payment processor accounts where you need the account email, merchant ID, or platform URL on file

Without a central place to store this information, staff end up searching through emails, paper files, or calling the bank every time they need these details.

  • You need at least Member role to view account details
  • You need Accountant or Admin role to edit account details
  • The account must already exist in your Bank & Cash list (created during onboarding or via Chart of Accounts)

You can reach the Account Details page from three places:

  1. Bank & Cash page — click the account name in the list
  2. Bank Feed Settings page — click "View Account Details" at the top
  3. Chart of Accounts — click the bank icon next to any account that has a linked bank account

The fields shown depend on the type of account.

All Account Types

  • Account holder name — the name as it appears on the account
  • Notes — internal reference notes for your team

Bank Accounts (Checking, Savings, Mercury)

  • Institution name — the name of the bank
  • Account number — encrypted and stored securely; displayed masked (dots) with a reveal toggle
  • Routing number — encrypted and stored securely; must be exactly 9 digits (US ABA format)
  • Bank address — street address, city, state, and ZIP of the bank branch
  • Bank phone — contact number for the bank

Payment Processor Accounts (PayPal, Venmo, Other)

  • Account email — the login or contact email for the platform
  • Business name on platform — your organization's display name
  • Merchant / Account ID — the platform's identifier for your account
  • Platform URL — link to your dashboard or campaign page

Credit Card Accounts

  • Card issuer — e.g., "Chase Visa" or "Amex Business"
  • Cardholder name — the name printed on the card

Cash and Clearing Accounts

Cash on Hand and Clearing accounts only show the shared fields (account holder name and notes), since they don't have external bank or platform details.

Account numbers and routing numbers are encrypted at rest using Fernet encryption (the same standard used for bank feed credentials). On the page, these fields display as masked dots until you click the eye icon to reveal them.

All changes to sensitive fields are recorded in the audit log as "updated" without logging the actual values, protecting your data even in audit trail reviews.

The details page is read-only in two cases:

  • Member or Viewer roles — you can see the details but cannot edit them
  • Deactivated accounts — an amber banner appears explaining that the account is deactivated, and all fields are disabled regardless of your role
  • Keep account numbers current — if you close and reopen a bank account, update the details here
  • Routing numbers must be 9 digits — if you enter a routing number, the form validates it's exactly 9 digits
  • Account number and routing number go together — if you enter a routing number, you should also enter the account number
